For years, Einstein Activity Capture had a quiet flaw most people never noticed. When it pulled emails in from Outlook or Gmail, those emails didn't actually live in Salesforce. They showed up in the activity timeline, looked like records, and felt like they were there. Underneath, they were rendered from a separate AWS-hosted store sitting alongside Salesforce, not inside it. You couldn't report on them. You couldn't trigger anything off them. You couldn't query them through the API. And after six months, they were gone.

So the richest source of data about what's actually happening in your sales process, the thousands of emails your team exchanges with prospects and customers every month, was locked away from everything that makes Salesforce useful.

That's just changed. And the timing matters, because AI has changed what email data is worth.

What's different now

Salesforce has introduced a setting called Sync Email as Salesforce Activity. The headline is simple. Captured emails are now stored as standard Task and EmailMessage records, the same objects Salesforce has always used for manually logged emails. EAC keeps doing the capture work in the background. The destination is what's different. Real Salesforce data, in your org, queryable, reportable, automatable.

Why this matters for AI

Until now, if you wanted to feed customer emails into an AI model, including Agentforce, you had two options. Ask your reps to log emails manually (they won't) or build a parallel email integration outside EAC (expensive and brittle). The data you actually wanted was sitting in a store you couldn't reach.

Now it sits in EmailMessage records that any of these tools can read. Here's what that opens up.

Sentiment analysis as a proper CRM signal

Every email your team sends and receives can be scored as it lands. Tone shifting on an Opportunity you're chasing? You'll know before the deal goes cold. A long-standing client suddenly frustrated? Book a call and find out why. The data has always existed in your inboxes. It's just never been somewhere a model could read it.

Buying signals pulled straight from conversations

An email that says "let's get this in front of our CFO" is a buying signal. One that says "we need to revisit this in Q3" is the opposite. A model reading your email stream can lift these signals out automatically, update the Opportunity, prompt the rep, or flag the deal for forecast review. You stop relying on reps remembering to set the stage correctly.

Stakeholder mapping that reflects reality

AI reading email traffic can surface who's really involved in a deal. The person who's been cc'd into every thread for three months but never made it onto the Opportunity Contact Roles. Decision-makers show up in email patterns long before they show up in your CRM hierarchy.

Real context for Agentforce

When a rep asks Agentforce "what's the latest on the Acme deal", a model that can read the email history gives a useful answer. A model that can only see logged Tasks and Notes gives a thin one. That's the difference between Agentforce feeling like a colleague and feeling like a search box.

Coaching at scale

The best sales coaching comes from reading what reps actually wrote, not what they reported. With every email available as data, you can spot patterns. Which reps answer objections well. Which let threads go cold. Which discovery questions correlate with closed-won outcomes.

None of this is hypothetical. The models are good enough now, the integration patterns are well understood, and the only thing that's been missing is access to the email data itself.

The switch is genuinely easy

This is the part where most articles list a load of risks and consultancy hours. Honestly, for most orgs, it isn't that.

Sync Email as Salesforce Activity is a setting you turn on in EAC Settings. Once it's on, captured emails start landing as EmailMessage records. You can exclude internal domains so you're not flooded with internal noise. You can pick between storing full email bodies or just headers if storage or privacy is a concern. Most orgs land somewhere sensible inside a single afternoon of configuration (albeit Salesforce can take a while to initially sync historic data).

If you just want to report on email as an activity source that wasn't previously available, it's a couple of hours of work, not a project. Getting the most out of Agentforce as an AI layer over email opens a wider conversation, but it's still readily achievable.

The bigger question isn't whether to switch. It's what you build on top of it once you have. The orgs that move first get to start training models, building dashboards and wiring up Agentforce against a year of email data before their competitors have flipped the switch.

Where this leaves you

For a long time, EAC was a useful capture tool with a frustrating ceiling. You could see the data, you just couldn't do anything with it. That ceiling has gone. AI can now do interesting things with unstructured customer conversation. Genuine sentiment work. Genuine signal extraction. Genuine conversational memory. And the data it needs is now sitting in your CRM in a usable form.

The teams that win the next couple of years in Salesforce won't be the ones with the most fields or the cleanest stages. They'll be the ones whose AI has the most context. Email is where most of that context lives.
